As a business associate to the medical field, Southeastern File Management Service, Inc. & Environmental, must comply with the privacy rules set by congress. Enclosed you will find the procedures in which we follow to insure the H.I.P.A.A. regulations are strictly followed.
File Film Destruction
Purged File Film Destruction
- File Film with paper documentation will be picked up from your facility and securely transported to our Raleigh facility where it is sorted and separated if needed by our personnel.
- All paper documentations are shredded and destroyed at time of separation.
- After the above process has been completed, the file film is chopped into 3/8 pieces and then put through an Enzyme wash process where all imaged area is dissolved.
- A certificate of destruction can be given to your facility, if requested, after the destruction has been completed.
File Film Storage & Relocation
Southeastern File Management Service, Inc. will and securely store off-site the file films and perform the following duties on these file films.
- S.F.M.S., Inc. will remove all requested file films from the file room and relocate them to its secured Raleigh storage site.
- We will inventory the files by terminal number and provide shelving for these films inside our climate controlled facility.
File Film Inventory Listing Procedure
- S.F.M.S., Inc. will perform inventory listing / data entry in the same form and program as originated.
- Listing / Data entry will consist of (first name, last name Med. # and year).
- The logging of file film data will be done on-site at SFMS, Inc. or offsite if needed.
- S.F.M.S, Inc. will then pull and send files to customers on an as needed basis.
